Select standard magazine view
There are two possible views of the repository: the flat view offers step-by-step navigation through the repository levels, while the tree view better illustrates the hierarchical structure of the repository.
Here you can see the tree structure of the repository with all its sub-levels at a glance - just as you are probably used to from the file management of your local computer:
- Click Administration in the main header and select the General settings option.
- In the Basic settings area, select one of the two options Tree view on or off from the Standard repository view drop-down menu. This defines the view in which all ILIAS users see the repository after they have logged in.
Note: However, users can switch between the two repository views independently. Regardless of whether you select the tree view as the default, you can also use the Tree view option under Skin/Style > Basic settings to specify on which page the additional tree view window should appear.
Configuring the presentation of the tree view
It is also possible to display objects that are not containers (i.e. categories, courses, groups, etc.) in the repository tree view. In this case, you can also specify that only the current section of the tree including the immediately higher-level container appears within courses and groups, proceed as follows:
- To display all object types in the tree view, select the All objects option in the Presentation section of the tree view.
- An additional checkbox Restrict all objects to display in courses and groups will then appear. To display only the current section of the tree within courses and groups, select them.
- Save at the end.
These option(s) are also useful if you have not activated the tree view by default, as its use is determined by the users themselves.
Activate recycle bin
An intermediate backup can be used in ILIAS for the deletion of objects, which prevents deleted objects from being immediately and irrevocably deleted in ILIAS. They can then be restored via the recycle bin, which is activated by default. Please note that if you deactivate the recycle bin, deleted objects in the entire repository are immediately and irrevocably deleted! You want to reactivate the recycle bin.
- In the main bar, open the entry Administration > Repository and Objects > Repository.
- ILIAS opens the Settings tab.
- Activate the Use recycle bin checkbox.
- Click on the Save button.
- ILIAS activates the recycle bin and reports "Changes saved".
Disk quota settings
ILIAS allows you to set up a disk quota, i.e. a maximum amount of storage space that a user is allowed to occupy.the corresponding options are listed under Administration > Repository.to change them, however, you must call up a different view where the setting is sorted.therefore simply click on the Edit settings link for the desired setting and call up the help again.
Configuring the length of the object description display
In addition to the title, a description can also be entered for each item in the repository, which is then displayed below the item title.
By default, this description is aborted after 128 and ended with "...".
However, you can also specify a different length for such description texts or deactivate shortening altogether.
To determine an alternative length for displayed description texts, proceed as follows:
- Click Administration in the main header and select the General settings option.
- Now either enter a different number under Shorten descriptions or remove the selection and save.
Existing description texts are not lost due to a very small number: This is only the length of the displayed part of the description.
Display the number of notes, comments and tags in object lists
In the repository, the number of annotations (private notes, public comments, tags) that have already been created for an object can be displayed below the title of the object, so you can see from the "outside" whether an object has been annotated, etc.
To display this information, proceed as follows:
- Click Administration in the main header and select the General settings option.
- Scroll all the way down and select the option Show number of notes, comments and tags in object lists.
Annotation elements can also be called from "within" an object, but there is no separate option for activating this function. It is available as soon as the corresponding type of annotation option is available
Define settings for container symbols
All object types are assigned a specific symbol (icon, pictogram) in ILIAS. However, a different, individual symbol can be defined for most container objects (categories, groups, courses).
However, this option must be activated beforehand.
- Switch to the "Customized icons" tab.
- Specify whether ...:
- the standard ILIAS symbols should always be used.
- different, individual symbols can be introduced for individual container objects (checkbox "Activate customizable symbols" checked).
- Specify the size (in pixels) in which deviating, individual symbols are to be displayed by ILIAS:
- Large symbol (32x32):The symbol only appears in the repository in the header of the relevant container object.
- Standard icon (22x22):The icon appears in the dashboard overview if the container object is located there.
- Small symbol (16x16):The symbol appears ...
- in the repository on the level above the container object.
- in the "Recently visited" section of the "Repository" menu in the main header.
- in the administration in the "Repository, recycle bin and permissions settings" area.
- Click on Save.
Configure the "Add new object" menu in the magazine
The ILIAS repository can contain a wide variety of object types (such as learning modules, tests, forums, etc.).
They are created via the "Add new object" menu.
The menu can be customized in three ways: To create an object type, there is a so-called module in the ILIAS code. These modules can be activated separately so that it is possible to control which object types can appear in the repository at all, as they no longer appear in the "Add new object" menu, regardless of what rights a user may have.the object types can be moved in the menu.since version 4.4, they can also be combined in configurable groups.to do this, proceed as follows:
- Switch to the "Object types in the repository" tab.
- By clicking here ...
- checkbox "Enable creation", you prevent objects of the corresponding type from being available at all in the "Add new object" menu.
- change the entry in the text field in the "Position in the selection list for objects to be added" column, you can make the object type appear in a different position within the same "group" (i.e. in the same section) of the menu.
- change the entry in the menu in the same column, you can make it appear in a different group.
- To finish, click on "Save" in each case.
Configure groups for the "Add new object" menu in the magazine

If you are not satisfied with the layout of the groups, you can also adjust it:
- Use the submenu to switch to the "Groups" view.
- You can perform the following operations here:
- You can add another "Add group" via a button of the same name above the table: Then enter a title for each of the installed languages.
- You can use another button above the table to "Add column separator" (and thus insert an additional column).
- By changing the entry in the text field in the "Position in the selection list for objects to be added" column, you can move the group to a different position in the menu.
- You can adjust the title of each group for all installed languages via the respective "Edit" link in the "Actions" column.
