Learning progress - Introduction

Learning Progress - Introduction

The learning progress shows if and how learners use certain objects in ILIAS. For this purpose, the accesses of users to contents and functions in ILIAS are logged. Learners can quickly see which areas they have already worked through. Teachers can check compliance with the curriculum and learn how learners are working with their materials. Teachers can also assign grades or send comments via the learning progress.

Learning progress must be activated centrally in the administration. It can then be collected for the following objects:

  • Files
  • Individual assessments
  • Learning materials (learning modules in ILIAS, HTML, and SCORM formats)
  • Exercises
  • Tests
  • Media casts
  • Study programs
  • Sessions
  • Courses and groups
  • Folder
  • Surveys

The form in which information on learning progress is collected and displayed depends on the object types and the respective settings selected for learning progress. Depending on the object, the learning progress can be updated automatically by ILIAS, set by learners themselves or determined by teachers.

There are two ways to access the learning progress: Via the learning progress and via the corresponding tab "Learning progress" in the respective object.

For data protection reasons, teachers always need the corresponding rights to the object in order to be able to view the learning progress. Learners themselves also have access to their own data when using learning progress.

Activate learning progress

You want to view data about the learning status of users and activate the learning progress tab in your object.

  1. Switch to the edit view of your object and open the Learning progress tab.
  2. If necessary, click the Settings link.

Note: The selection options vary depending on the object.
  4. Click on the Save button.
  5. ILIAS activates the desired learning progress mode.

Note: ILIAS collects the learning progress data for your object in the background even if no mode has been activated. So if you activate it at a later time, all learning progress data accumulated in the meantime will also be displayed.

Deactivate learning progress

You do not want to see any data about the learning status of users in ILIAS and you want to deactivate the learning progress in your object.

  1. Switch to the edit view of your object and open the tab Learning progress.
  2. If necessary, click on the Settings link.
Note: If this link is unavailable, you can proceed directly to step 3.
  3. Activate the Learning progress disabled option.
  4. Click on the Save button.
  5. ILIAS deactivates the learning progress. Learners will no longer be shown a learning progress tab.

Setting up elective and mandatory topics

Introduction Elective and mandatory topics

You can specify that a course/group/folder is also considered passed if

  • At least one item has been successfully completed. Example: Your course contains three identical German, English, and French tests. The test must be passed - regardless of the language. So members must pass at least one of the three tests to pass the course. Set the minimum number of objects to be mastered to 1. It is up to the individual member to decide which test to work on.
  • Several, but not all, objects have been successfully completed. Example: Your course contains three SCORM learning modules on the three essential topics you want to teach. The SCORM learning modules each contain several SCOs, including one with a "summary". Set the number of minimum items to be mastered to 2. In one learning module, all content / SCOs must be mastered. In the other two, only the summaries are mandatory to be mastered, so the learning progress is automatically set to "mastered". Your participants would now have to view at least the two summary SCOs to achieve the required learning progress in the course.
  • One item per topic must be successfully edited. Example: Your course prepares three major topics. For each topic, there is a test and a SCORM learning module. The tests must be successfully passed, and the SCORM learning modules must be completed. One of the two items (test or SCORM learning module) must be mastered for each topic. Members can choose between answering or reading each topic.
  • All mandatory topics have been completed, and a minimum number of elective topics have been completed. Example: Your course contains two tests and two exercises. The subjects must each be passed. The two tests are mandatory learning progress objects. The minimum number of objects to pass is 3. Members must pass the two tests and one exercise of their choice to pass the course.

Set elective and compulsory topics.

You want to designate certain content in your course, group, or folder as optional or elective topics.

These topics do not all have to be worked on, but members can make a selection. Here are several examples.

  1. Open the Settings sub-tab in the Learning Progress tab of the object.
  2. The learning progress mode must be set to Status is determined based on a selection of objects.
ILIAS will then list all learning progress subobjects contained in the container object.
  3. Activate the checkboxes in front of all objects from which a selection is to be edited.
Click on the entry Create grouping with optional materials in the selection menu above or below the table.
  4. Click on the Execute button.
  5. ILIAS groups the objects you have just selected into a common group with a common checkbox. A green checkmark is set for the selected objects in the Determined learning progress column. They thus contribute to the overall learning progress.
  6. Below the group, ILIAS shows an input field Minimum number of materials to exist. Enter how many elective topics must be edited for the group to be considered as edited.
  7. Click the Save number of mandatory materials button above or below the table.

Change elective and mandatory topics.

You want to change your selection of mandatory and elective topics after the fact.

Note: If members have already started to edit objects and you only now change the learning progress requirements, the status already achieved by the members may also change.

You want to ungroup elective topics:

  1. Activate the checkbox in front of the line where the elective topics are grouped.
  2. In the selection menu above or below the table, select the entry Ungroup with optional materials.
  3. Click the Execute button.

You want to add a grouping of optional topics:

  1. Activate the checkbox in front of the row where the optional topics are grouped.
  2. In addition, activate the checkbox in front of the topic or topics you want to add.
  3. In the selection menu above or below the table, select the entry Create grouping with optional materials.
  4. Click the Execute button.

You want to display your learning progress for an ILIAS learning module. You can view your learning progress via Learning successes > Learning progress or directly in the learning module.

You want to view your learning progress in the ILIAS learning module.

Prerequisite: Learning progress is activated for this ILIAS learning module. Otherwise, no status will be displayed to you.

  1. Open the tab Learning progress or the tab Info.
Note: Whether the learning progress tab is available depends on the settings of the learning module author.
  2. ILIAS shows under Status how your learning progress is classified in the object. There are the following statuses:
    Gray circle: Not yet started
    Yellow circle: In progress
    Green circle: Being worked on
    Red cross: Failed.
  3. How the status 'Edited' is determined depends on the settings defined for the ILIAS learning module.

How do I get the green status?
For ILIAS learning modules, obtaining a status depends on the respective learning progress mode. This mode is determined by the author of the learning module or your course administration and cannot be changed without special rights.

Normally you can see the respective mode in the tab Learning progress. The mode User decides on the status of the learning progress for the whole learning module is only visible in the tab Info and can be set by yourself.

The following modes are possible in the ILIAS learning module:

  1. The user decides about the status of learning progress for the whole learning module: If you think that you have worked on all contents of the learning module, you can independently set the status of your learning progress to 'Worked' in the Info tab.
Note: In this case, no learning progress tab will be displayed.
  2. The user decides about the status of learning progress in the respective chapter: If you think that you have edited a chapter, you can independently set the status for the corresponding chapter to 'Edited' in the Learning Progress tab.
  3. The number of calls determines status: ILIAS automatically sets your learning status to 'Edited' if you have accessed the learning module several times. A minimum number of calls has been defined for this learning module, after which you will receive the status 'Edited'. Quick and short successive calls are not considered calls by ILIAS: You actually want to learn and not trick the platform.
  4. Minimum learning duration for the entire learning module: ILIAS automatically sets your learning status to 'Worked' if you have worked with the learning module for a certain time. It is not enough to open the learning module and go for coffee to get credit for learning time.
  5. Minimum learning time per chapter: ILIAS will automatically set your learning status to 'Worked' when you have reached the minimum learning time for that chapter.
  6. All questions answered correctly: ILIAS automatically sets your learning status to 'Worked' when you correctly answered all questions in the learning module.
  7. Visited pages: If you have visited all pages of the learning module, you will automatically receive the status 'Worked'.

Set your own learning progress for the entire learning module.

You want to set your ILIAS learning module to the status 'Edited' after you have acquired its content.

Note: The author or your course admin determines whether you can set the status yourself. If the settings of the learning module do not allow you to decide independently about your learning progress, the following function will not be displayed. In this case, your learning progress will be determined automatically based on the learning time or the answers to questions.

  1. In the ILIAS learning module, open the Info tab.
  2. In the Learning progress section, select the status Edited in the drop-down menu.
  3. Click on the Save button.
  4. ILIAS reports, "The status has been updated." The learning module is now displayed as Edited in the learning progress display.

Setting your own learning progress for a chapter

You want to set one or more chapters of your ILIAS learning module to the status 'Edited' after you have acquired the content.

Note: The author or your course admin determines whether you can set the status yourself. If the settings of the learning module do not allow you to decide on your learning progress, the following function will not be shown to you. In this case, your learning progress will be determined automatically based on the learning time or the answers to questions.

  1. Open the tab Learning progress in the ILIAS learning module.
  2. ILIAS shows you in the tab Learning progress all chapters of the learning module for which you can set the learning progress yourself. You can also see which chapters you have already set to 'Edited'.
  3. Select the chapters whose content you have successfully acquired.
  4. Click the Save button.
  5. The relevant chapters of this learning module are displayed as Edited in the learning progress display.

Setting the Learning Progress Collection in ILIAS Learning Modules

Select learning progress mode.

You want to define how the learning progress is collected in an ILIAS learning module.

  1. Open the tab Learning progress in the edit view of the learning module.
  2. ILIAS opens the learning progress overview user of the learning module.
  3. Click on the Settings link directly below the tab navigation.
  4. ILIAS shows you which options you have for collecting learning progress:
Learning progress disabled: Learning progress is not displayed to learners or you. The Learning Progress tab remains hidden. However, all accumulated learning progress data is retained. Therefore, nothing is lost when the learning progress is deactivated. You can reactivate the learning progress at any time.

Users decide themselves on the status of the learning progress for the entire learning module: Users decide for themselves whether they have completed the learning module and then update their learning progress independently. This option requires that users actually take action and set the learning progress for the entire learning module themselves in the Info tab.

Users decide on the status of the learning progress in the respective chapter: Users decide whether they have completed the learning module and then update their learning progress independently. This option requires that users actually take action and set the learning progress for each individual chapter of the learning module themselves in the Learning progress tab.

Status is determined by the number of calls: You set the minimum number of calls. Users must call the learning module at least this often. A visit counts as a call only if it lasts long enough. (The required time period can be set centrally for the platform under Administration > Access statistics and learning progress > Settings). Clicks made in imported media objects are not counted. You will later see in the learning progress how often users have accessed the learning module and what percentage of the minimum requirement they have already fulfilled.
  5. Minimum learning duration for the entire learning module: The learning level is automatically set based on the learning duration. A minimum completion time is required for the learning module (so-called "typical learning duration").

Note: You set the Typical learning duration in the Metadata tab in the Quick Editing section.

Users who have opened the learning module but have not yet reached the required learning time are given the status 'In Progress'. Once they reach the minimum duration, the status is set to 'Edited'.
  6. Minimum learning time per chapter: As above, but with time requirement per chapter.
Note: The selection of relevant chapters and the respective time limit can only be set AFTER saving the mode at the bottom of the page.
All questions answered correctly: Users who have correctly answered all questions in the learning module will receive the status 'Edited'. Note: This option is only useful if the learning module actually contains questions.
Pages visited: Users who have visited all pages in the learning module are automatically given the status 'Edited'.
  7. Click the Save button.
  8. If you want to collect the learning progress per chapter, you can select the desired chapters AFTER saving at the bottom of the page in the Determining learning progress section.

How do I get the green status?
For SCORM learning modules, obtaining a status depends on the respective learning progress mode. This mode is determined by the author of the learning module or your course administration and cannot be changed without special rights. You can see the respective mode in the learning progress tab.

The following modes are possible in the SCORM learning module:

  • Status is determined by the SCORM package (entire learning module): you will receive the status 'Edited' when the learning module reports this to ILIAS. Within the learning module, there can be different regularities: Sometimes, calling up all content is enough, and sometimes questions have to be answered. If you are not sure, please get in touch with a teacher.
  • Status is determined by a selection of SCORM chapters (per SCO): You will get the status 'Worked' if you have worked on enough SCOs (i.e., sections or pages of the learning module). Your teacher again determines the relevant SCOs.

Your learning progress in the study program

Displaying your personal learning progress

You want to display your learning progress in a study program.

  1. Select No Assignment > Dashboard in the main menu.
  2. You will see which study programs you are enrolled in in the Study Programs block.

You can view your learning progress in two ways here:

  • Display in points and percentages next to the study program title: ILIAS displays directly next to the title how many points and percent you have achieved in the program so far.
  • Display in the form of colorful circles per course: This display must be activated by your technical management. It shows which status you have achieved in the respective course so far. The following statuses are available:
Gray circle: course not yet started.
Yellow circle: Course currently being worked on.
Green circle: Course processed and passed.

How do I get the green status?
A study program (or a branch of it) is considered finished by ILIAS if one of the linked courses has the learning progress status "Worked". If multiple courses are linked at one level, you only need to achieve the "Worked" status in ONE of those courses to receive the points in the study program. (See the help there for how learning progress works in courses).

Several scenarios are possible in this way. You can always tell which scenario applies to you by looking at the number of courses per level in conjunction with the number of points that can be earned:

  • Compulsory courses: points are awarded for the study program. There is only one course on the level. Members must successfully complete this course to earn points.
  • Elective courses: points are awarded for the program of study. There are multiple courses on each level. Members can then choose one of the courses to earn points.
  • Optional courses: no points are awarded for the program of study. There are one or more courses on a tier. Members may elect to take these courses but will not receive points.

Set a learning progress survey for a study program.

Enable learning progress for a study program.

Study programs do not have a separate Learning Progress tab. Instead, the learning progress is displayed in the Members tab. As explained in the introduction, it is already taken into account in the basic design of a study program.

Beyond displaying points, you can also show members of your study program what status they have achieved in the linked courses. To do this, you need to create two prerequisites:

  1. The technical lead activates the checkbox Enable Tracking → Dashboard, Repository, Search under Administration → Access Statistics and Learning Progress.
  2. You activate learning progress in all linked courses of your study program.

Members will then already be shown on the dashboard under each linked course what status they have achieved.
