Access statistics and learning progress
Tracking - Introduction
In learning progress reports, detailed data on the status of individual objects such as learning modules of all types, tests and exercises as well as entire courses and groups can be queried.
ILIAS prepares various data on user access:
- Administration > Learning success > Access statistics and learning progress > Statistics you will find data on the intensity of use / access to objects in ILIAS
- The Session statistics tab provides data on server utilization.
Learning progress in ILIAS
Learning progress reports make it possible to track how far the processing of learning objects has already progressed.
The learning progress reports show the processing status of learners on specific learning objects. This status can be defined by a manual entry or calculated according to various criteria, e.g. usage times recorded by ILIAS. The processing status has four characteristics with corresponding symbols:
- not yet started
- in progress
- completely edited
- not passed only for courses, tests and exercises
For some object types, this status can be defined by a manual entry or calculated by ILIAS according to various criteria (e.g. usage times recorded).
Learning progress reports can be configured for the following object types:
Learning materials
- ILIAS learning module
- SCORM/AICC learning module
- HTML learning module
Survey objects
- Exercise
- Test
Miscellaneous
- Session (in course)
Container objects
- Course
- Group
- Folder
Activate access statistics
You can activate the object statistics so that they are recorded,
- how many accesses to objects there are.
- how long these accesses take.
- how many objects there are.
The object statistics record the object types files, groups, HTML learning modules, ILIAS learning modules, courses, SCORM/AICC learning modules, tests, exercises, web links, wikis
- Open Administration > Learning achievements > Access statistics and learning progress > Settings
- Select the Object statistics option.
- Click on Save.
Configure learning progress globally
Activate extended data collection for learning progress reports
- Open Administration > Learning achievements > Access statistics and learning progress.
- ILIAS displays the Settings tab.
- Activate the Learning progress checkbox.
- ILIAS displays further options:
- View your own learning progress: If activated, users can view their own learning progress.
- Activate extended data
- First and last access
- Accesses
- Time
- Dashboard, repository, search: If activated, the learning progress status is displayed in object lists. Activate the checkbox
- Activate the Object statistics checkbox to display an additional Statistics tab with information on the usage statistics of various object types.
- Activate the Session statistics checkbox to show an additional Session statistics tab with utilization data.
- Only activate the Anonymization of data checkbox if no supervision may take place and no data-based support for learners may take place.
- Define when a person should be considered "idle". ILIAS will consider a person as no longer "actively learning" if they have not clicked for longer than the maximum interval for learning progress reports.
- The maximum interval specifies the time that may elapse between two clicks within a learning object without ILIAS aborting the time recording that is used in the learning progress reports.
- The maximum interval specifies the time that must elapse for ILIAS to count both clicks as different accesses.
- Click Save.
Retrieve all learning progress reports in the administration
- Open Administration > Learning achievements > Access statistics and learning progress.
- ILIAS displays the Settings tab.
- Open the Learning progress tab.
- ILIAS presents a table with learning progress data for different object types.
- Select the object type in the filter or restrict the display to a specific area in the repository. Click Apply filter.
- ILIAS displays a tabular report; each row shows a single learning object with (by default) the following information:
- ∑ Accesses:
Sum of accesses to the object - Ø Time / user:Average time spent by users in the object
- Ø Percent/ User:Average of the percentage of points achieved (only in tests and SCORM learning modules)
- ∑ Accesses:
- Status:Number and percentage of users who have not yet started / edited / processed the object
- Note:Number and percentage of users to whom a specific note has been assigned
- Path of the object in the repository with clickable title
Retrieve learning status statistics for courses
ILIAS provides aggregated data on the learning status in courses. The minimum, average and maximum key figures are displayed for the number of course members and their subsets, each with one of the possible learning progress statuses (Not yet started, In progress, In progress, Failed).
To retrieve this data, proceed as follows:
- Open Administration > Learning achievements > Access statistics and learning progress.
- Switch to the Statistics tab.
- Switch to the Course learning status statistics sub-tab.
- Click on Apply filter.
A filter allows you to restrict the data displayed according to certain criteria:
- Object target
- Year / month (however, an overview of several months cannot be called up!)
A bar chart can be displayed for each view of the object statistics. Proceed as follows:
- Select the objects to be displayed in the diagram.
- Click on the "Show as diagram view" button on the left above the respective table.
Use access statistics
Display access data: Basics
It is possible to call up detailed statistics on access to individual objects via the ILIAS administration and the following object types are recorded in the statistics:
Container objects
- Course (standard view)
- Group
Learning materials
- ILIAS learning module
- SCORM/AICC learning module
- HTML learning module
Survey objects
- Exercise
- Test
Miscellaneous
- File
- Web link
The intensity of use view can be called up for each object,
- how often (accesses), how long (time) and by how many individual users (users) it was used.
- how these data accumulate in a 2-hour cycle over the course of the day.
Display access data: Procedure
- Open Administration > Learning achievements > Access statistics and learning progress. > Statistics.
- Call up the desired view.
- Show the filter if necessary.
- If necessary, change the displayed key figure (access or time) via the field of the same name in the filter section.
The usage intensity and daily progression views also have the following fields in the filter:
- Object type
- Title/Description
- Year/month (however, an overview of several months cannot be called up!)
Each view of the object statistics can be exported as a .csv or .xls file. To do this, use the menu on the right above the respective table.
For reasons of better performance, the data available here is only updated if you explicitly request this (see the section on Managing access data).

- Select the objects to be displayed in the diagram.
- Click on the Show as diagram view button on the left above the respective table.
Display access data: Number of objects
For each object type, the maximum, minimum or average number of objects on the installation in the months of a selected year can be called up in the Number of objects view.
ILIAS counts separately,...:
- how many references there are of an object, i.e. how often it has been linked.
- how many objects (including their references) are in the recycle bin (see also section Activating the recycle bin).
Manage access data
The access data recorded in ILIAS can be viewed under Data management:
- be brought up to date.
- deleted on a monthly basis.
You are in the Statistics tab.
Now proceed as follows:
- Use the submenu to switch to the Data management view.
- To do this, select one of the time periods and click Delete or Update data.
Use session statistics
Activate session statistics
- Open the Learning successes entry in the administration and select the Access statistics and learning progress entry.
- ILIAS displays the Settings tab.
- Activate the Session statistics checkbox under Activate tracking.
- Click Save.
Retrieve system access data
- Open the Learning successes entry in the administration and select the Access statistics and learning progress entry.
- ILIAS displays the Settings tab.
- Switch to the Session statistics tab.
- By default, ILIAS displays the Current system load view with a graph showing the average number of sessions on the current day. The following data is displayed:
- ILIAS also provides detailed data on server utilization. Prerequisite: The session statistics are activated.number of currently active users
- Graph of average and minimum/maximum active sessions
- Number of logins and logouts ("entries and exits"), of the latter:
- via logout
- via timeout (after a fixed session duration)
- via timeout after idle time
- by timeout after idle time after 1. Request
- Anonymous login
- Number of rejected users (= unsuccessful login attempts)
- Duration of operation under full load
- Aggregation of the above data via
- current day, last 24 hours, last 7 days, last 30 days
- self-selected days, weeks, months, years
- self-selected period
- Date of last data aggregation
- Date of last full load
- To bring the view up to date, click on Aggregate data.
- Select Other data in the function bar:
- Under Scale, select the period for which the data is to be displayed. To change the scale to a self-selected period, switch to either the Short-term history (for days or weeks) or Long-term history (for weeks, months or years) sub-tab.
- Under Key figure, select which data should be displayed: Average number of active sessions, minimum number of active sessions, maximum number of active sessions
- Click on OK.
- Click on Export in the function bar.
- ILIAS exports the displayed data as an .xls file.
